Research Abstract & Case Report
Submission Guidelines

1. How to submit your abstract

  • At the 2nd JaVECCS International Symposium, we will hold a research abstract, case report and poster sessions. Please check the following eligibility requirements and requirements before registering.

  • If your abstract is accepted, the symposium registration fee will be waived.

*After the deadline, you will not be able to register, modify, delete, or perform any other operations on your abstract.

2. Application Qualifications and Requirement

Eligibility

  • Anyone, whether a JaVECCS member or non-member, can apply.

  • Must be a qualified veterinarian or registered veterinary nurse.

Application requirements

  • The number of abstract/case report/poster accepted as primary authors is limited to two submissions per person. However, this does not apply to the number as co-authors.

  • Only unpublished general topics (research abstract/case report) are accepted. Topics that have already been published as case reports, image reports, or other papers at the time of application will not be accepted.

3. Application method and abstract content

How to Apply

  • Please register your presentation title and upload your abstract by clicking the "Submit Research Abstract/Case Report" button below before the deadline.

  • When registering your presentation, please select "Oral Presentation" or "Poster Presentation".

  • We may ask you to change your presentation from an "oral presentation" to a "poster presentation."

Abstract Contents and Presentation Format

  • Presentation content should be either a research abstract or a case report.

  • There are two types of presentations: oral and poster presentations. When submitting your abstract, please select your preferred category, oral or poster presentation. However, please note that we may ask you to change your category from oral presentation to poster presentation.

  • The final decision will be made by the JaVECCS International Conference Program Committee and the Board of Directors.

4. Submission and presentation format

  • This is an international conference, and abstracts must be submitted in English.

  • All abstracts should be submitted as Word files.

  • The font should be Arial, size 11, with single-spaced lines.

  • The paper should not exceed one page, including the title, authors, and author affiliations.

  • The length of the abstract (excluding the title, author names, and affiliated institution names) should be 500 characters or less (in English), and the length of the title should be 50 characters or less.

  • Research presentation abstracts should be written in the following order: "Objective," "Methods & Materials," "Results," "Discussion," and "Conclusion."

  • Case report abstracts should be written in the following order: "Background," "Case Presentation," and "Unique/New Information." In the "Case Presentation" section, be sure to include the patient's age, sex, chief complaint, medical history, and current medical history.

  • Please do not include figures in your abstract.

  • A maximum of 20 co-authors can be registered.

  • Up to 10 affiliated institutions can be registered.

  • The title, affiliation, author names, and abstract text of accepted abstracts will be published in the abstract collection exactly as they were when they were submitted. When submitting your abstract, please be sure to read the notes on the abstract submission page carefully before entering your information.

5. Conflict of Interest (COI) in Clinical Research

  • All authors, including co-authors, must declare at the time of abstract registration whether or not they have any COI status regarding financial relationships with "companies, legal organizations, or profit-making organizations related to clinical research" in the past three years in relation to the presentation in question.

  • The authors, including any co-authors, must disclose any applicable COI status at the beginning of their presentation slides (or after the slide introducing the presentation title, presenters, etc.) or at the end of their poster.

6. Decision on acceptance

  • We will notify you of the results by email by January 31, 2025.

  • The date and time of your presentation will be announced at the same time as the result of the acceptance.

7. Event Outline and Presentation Format

  • Oral presentations (research abstract/case presentations) will be limited to 15 minutes per topic (including Q&A).

  • The oral presentation is scheduled for March 15th (the first day of the conference). Your presentation time will be announced at a later date.

  • The Poster needs to be posted on the board in the foyer on the third floor by noon on March 15th, and a poster Q&A session (approximately one hour) will be held in the afternoon of the same day. More details for time and location will be announced at a later date.

8. Other

  • Please be mindful of COIs of authors and co-authors.

  • Cancellation of presentations will only be accepted until February 28, 2025. After this date, your presentation will not be canceled.
